Why people choose Sortfully
You can see why every message moved
SaneBox analyses your past email behaviour, then moves mail it judges less important into SaneLater. That's clever, but it means a message can leave your Inbox without a rule you wrote. Sortfully files by who sent it: Amazon to Amazon, your accountant to your accountant. Every rule is listed on one page, and you can change any of them. By default it waits until you've read a message before moving it, so nothing disappears before you've seen it.
Nothing you keep is thrown away
SaneBox's SaneBlackHole moves mail from senders you send there to Trash after 7 days, or sooner if that folder goes over 250 emails. Sortfully has a hard rule against deleting: it never sends mail to Trash or Deleted Items, and any filing can be undone from your activity log.
Made for Microsoft 365, not adapted to it
Sortfully works only with Outlook and Microsoft 365, through Microsoft's own interface. That's why, on the Business plan, shared mailboxes work through your team's own access, with no password to set on them, and why it fits around your existing folders and Outlook rules. The Business plan adds group sync, roles, pooled seats and an admin view of each member's work-mailbox activity.
Private by design, hosted in the EU
There's no AI in Sortfully, and message bodies are never read. It's run by a UK company and hosted in Germany, with a published DPA, which helps when a business reviews it.
Getting started takes a few minutes
- Sign in with MicrosoftConnect your Outlook or Microsoft 365 mailbox. Sortfully lists the Microsoft permissions it asks for before you connect.
- Check the previewSortfully previews the folders it would make for the senders in your Inbox before anything moves. Protect any folders you want left alone.

Questions
Does Sortfully use AI?
No. There's no AI model, no machine-learning classifier and no language model anywhere in Sortfully, and your mail is never sent to an AI service. Filing follows plain rules: your own overrides first, then the organisation that sent the message.
Will Sortfully delete my email?
No. Sortfully moves or tags mail, and any filing can be undone from your activity log. Its code blocks deleting messages, and it never moves mail to Trash or Deleted Items. The only thing it ever removes is a folder that is already empty.
Can I keep my SaneBox folders?
Yes. When you cancel SaneBox, choose Keep my folders and the mail in SaneLater and the other SaneBox folders stays where it is. (If you choose Remove my folders, SaneBox moves that mail back to your Inbox.) Then connect the mailbox to Sortfully, so only one tool is moving your mail, and reuse any folders you want to keep.
What can Sortfully see?
The details it needs to file mail: who sent a message, which folder it's in, when it arrived, whether it's been read, its Outlook categories and technical IDs. It also reads your folder names and Outlook rules. The subject line and sender address are saved to your activity log too; that's on by default and can be switched off, and on a team, admins can see it. Message bodies and attachments are never read; the code is built to refuse them.
Where is my data stored?
Sortfully is run by a UK company and hosted in Germany, with encrypted backups in the Netherlands. There's a published Data Processing Agreement and list of sub-processors.
How much does Sortfully cost?
Standard is £5 per mailbox a month, or £50 a year. Business, which adds team management, is £9 per mailbox a month, or £90 a year. Prices exclude VAT. New customers get a 14 day free trial, no card required.
